From shirsch at somervillema.gov Mon Mar 1 07:58:54 2010 From: shirsch at somervillema.gov (Stephanie Hirsch) Date: Mon Mar 1 04:14:41 2010 Subject: [Mystic] Mystic Task List and Updates for Week Ending Feb. 26th Message-ID: Hello - Please find attached an updated task list for the Mystic project. I'll highlight here a few updates: First, take a look at one of our Mystic leaders in the news: http://www.boston.com/yourtown/news/somerville/2010/02/learning_center_director_passi.html?comments=all. What a great story! SAVE THE DATE FOR PRESENTATION ON HCZ OUTCOMES, Tuesday, March 9th, 6:00 to 8:00 p.m. In response to questions about the impact of the HCZ, Mon Cochran has arranged the following exciting presentation for us. Researchers at Harvard University have been conducting the first empirical test of the impact of the Harlem Children's Zone, exploiting the fact that HCZ charter schools are required to select students by lottery. Based on their analyses, they are concluding that the HCZ is "enormously effective at increasing the school achievement of the poorest minority children." On Tuesday evening, March 9th, Will Dobbie, one of the lead researchers conducting the impact evaluation of the HCZ, will present their impact findings and participate in a discussion with interested members of the Somerville Mystic Zone community. The event will take place from 6-8 pm at a location to be announced shortly. CANVASSING TEAM TALKING TO PROVIDERS: The team of students from Tufts that is working on developing a proposal for a canvassing effort, has been meeting with providers in a "spiral-out" approach, starting with providers who work directly in the Mystic and moving out from there. The students will integrate this feedback into a draft proposal for the canvass effort. By March 22, the draft proposal will be sent out to members of the Canvass Working Group for review and written feedback. They are scheduling a meeting in the week of March 29 to discuss this draft and come up with next steps. If you would like to participate in this working group, please fill out the following scheduling poll: http://doodle.com/fg9ria39h5s443aq or contact Emily Lin at es.lin@tufts.edu. Please note that no decisions have been made yet about what form an effort will take this summer. We will have Tufts students available to help with some effort, but there has been no decision as of yet on what that will entail. FUNDING WORKING GROUP MEETING: Nancy Bacci pulled together a Funding Working Group meeting this past week. At the meeting, we discussed all the different forms of funding that we could pursue. We decided to keep an eye on the deadlines, but in parallel work on defining the projects mission and scope (the who, what, where, when, why, etc of the project). SCHEDULING AN EXECUTIVE STEERING COMMITTEE MEETING: I have been working on setting up an Executive Steering Committee meeting. Date and location are TBD. The current plan is to hold it in the evening, but not have an expectation for significant resident involvement at the first meeting. All stakeholders are most welcome to come and participate in the meeting. Thank you and as always, please feel free to send questions, comments, or suggestions to me. This was a follow-up from our larger meeting at the Healey School (a week earlier, everyone in attendance felt that we needed more time to decide and therefor we chose another date and time to meet). Our goal for the meeting on February 12th was to go over the expectations for those who would be chosen to represent the nonprofit group and also select representatives to be part of the larger steering committee. The goal was also to have members of the nonprofit group email what they thought should be the expectations for the representatives(most agencies emailed their thoughts). Because of several conflicts in schedules we chose the date that fit most peoples schedules. Agencies who attended are as follows: Elizabeth Peabody House, YMCA, Mystic Children's Center, Somerville Mental Health and the Welcome project. There were several other agencies who said they would be attending but did not show and several who said that they could not meet at the designated times and dates suggested. The flow of the meeting is as follows: 1. Welcome, Introductions, Meeting Purpose and Ground Rules: ? Recap purpose of the meeting ? Ground rules (focused on allowing everyone an equal voice during the meeting) 2. Expectations and Responsibilities For Group Representative: ? Shared groups feedback that was email (see expectations below) ? Group confirmation of the expectations and responsibilities 3. Selecting A Rep: ? Discussion about who the reps should be (with an understanding that those who were invited to the meeting understood that this was the main purpose of the meeting) ? Selecting the group rep: The group had a general understanding that rep(s), should be part of the Mystics community and also have some representation that showed some diversity (as it pertains to those to be served in the community). After a long discussion the group decided that Fluffy, Warren and Selvin would be the representatives for the non-profit group (understanding that this only a 6 months commitment and no longer than that time period). Selvin agreed that by default that if the larger Steering Committee was to have only two reps then he would be willing to serve as an alternate. 4. Next Steps: ?Setting meeting dates with non-profit reps to meet and discuss role, expectations and working protocol as it pertained to feedback sent via email from other nonprofit agencies. 5. Below is the feedback in regards to what the expectations are for the non-profit reps: MYSTIC Nonprofit Planning Group (MCZ) Non-profit Reps Roles and Responsibilities (suggestions from the group): ?The chosen representatives, regardless of their organization's specific mission, should be focused on the main mission of serving the youth populations from all agencies and being the group?s voice when participating and Steering Committee meetings. ? Rep should be a reflection of the Mystic residents (diversity is important, person of color needed). ? Representatives should represent the wealth of programs present in Mystic community. ? Chosen reps needs to meet with each nonprofit/program and be in contact with them throughout the process. ? At least one of the chose reps needs to reflect the diversity of the Mystic community regardless of language spoken. ?Chosen rep will work with the non-profit group to flesh out where there are some broad agreements in principles that the nonprofits would like to see represented on the steering committee. ? Chosen reap needs to be someone on the executive level within their chosen agency (but there is also merit in having a senior manager or direct-service provider represent the non-profit that is selected -- provided we wind up with at least one) ? One of the rep seats should go to an organization that is actually based in Mystic, not just serving the community. ? Rep should be someone who has the skills and ability to report back to the non-profit "group" without injecting personal or agency bias. ? Rep should be willing to send out a re-cap of pertinent issues to the rest of the non-profit group following committee meetings, and asking for input to bring back to the committee. ? Rep needs to be a talented individual regardless of the organization, but a well-suited representative of the mission and purpose of the MCZ project. ? Rep needs to be prepared to think about the gaps in services in the Mystic area. Selvin L. Here are a few highlights... EXECUTIVE STEERING COMMITTEE MEETING: The first Executive Steering Committee meeting has been set up for March 31st from 6:00 to 8:00 p.m., with the location to be determined. Everyone is welcome -- please come and participate. I will be circulating a revised agenda as we get closer to the date. PRESENTATION ON HCZ OUTCOMES: This past Tuesday, Will Dobbie, a researcher from Harvard, shared with a group of us at the Mystic his team's findings on the impact of the HCZ. You can find a paper that summarizes the research here: http://www.acy.org/upimages/HCZ_Study.pdf. Dobbie said that the HCZ's work results in very significant gains in student achievement. He discussed his team's efforts to determine what exactly causes the gains. I'll share a summary, as I understand it, at our upcoming Executive Steering Committee meeting. DEMO ON ETO SOFTWARE: Some School and City staff participated in a web demo of ETO software (see; http://www.socialsolutions.com/). Both Raising a Reader and the Boys and Girls Club already use this software. The software supports program management within organizations and also supports cross-program coordination. If it looks like a reasonable and affordable option for data sharing, I'll arrange for a demo for everyone involved. MAILING LISTS AND MEETING NOTES: Just a reminder that you can find links to the mailing lists and notes from meetings posted at: https://wikis.uit.tufts.edu/confluence/display/scz/Home. I have made the site public, so that people can view resources without logging in. Let me know if anyone has concerns about materials being viewable by the general public. The site link won't be generally advertised, but an interested person could see everything on the site. FAMILY CENTER IN THE NEWS: Once again this week, one of our local agencies is getting media attention. Cheryl Vines reported that both 60 Minutes and People Magazine are exploring doing stories on the Family Center's innovative and widely-used Parenting Journey program. I can't wait to read about it or watch it! It's exciting to think that we have these resources within Somerville. Thanks, everyone, and feel free to send along questions or comments. After several meetings with service providers as part of the class, they decided that a list of all of the individuals involved, with a short biography and photo would be very helpful for making connections between the different programs involved in the project. I have offered to do this on the Mystic Wiki. To reach the wiki you go to https://wikis.uit.tufts.edu/confluence/display/scz/ Currently Mon Cochran and Emily Lin have demo bios available on the wiki under the title "Member Bios". This can be found by clicking on "Mailing Lists" in the left hand menu, then looking under "Stakeholders' Steering Committee Members" for the "Member Bios" link. If you could send me a short bio I would post it on the wiki. At the same time, I know that all of you have extremely busy schedules, so I would be happy to contact you via a short phone interview and write something up if you do not have time to write up a bio to email back. A photo would be extremely helpful in putting names and faces together for the new connections that have been made between programs. Please let me know whether you would like to participate, and if so, how I can be most helpful. Thank you!
